Privacy Policy
We only collect what we need to run the service, and we never sell your data. Here's the plain-English version.

1. What we collect
- Account information — your name, email, password hash, phone (optional).
- Business information — entity name, type, state, formation date, document numbers, addresses, owner and contact details.
- Mail and documents — scans of physical mail addressed to you and files you upload to your vault.
- Billing information — handled by our payment processor; we store only what we need to manage your subscription.
- Usage data — basic logs to keep the service secure and reliable.
2. How we use it
- To deliver the services you signed up for (mailbox, documents, reminders, support).
- To communicate with you about your account, mail, filings, and changes.
- To protect against fraud, abuse, and security threats.
- To comply with legal obligations.
3. What we don't do
We don't sell your personal data, and we don't use your mail or document contents to train AI models or build advertising profiles.
4. Who we share with
We share data only with vendors who help us operate the service, under contract:
- Hosting, database, and storage providers
- Mail receiving, scanning, and forwarding partners
- Payment processors
- Email, analytics, and support tooling
We may also share information when required by law or to protect rights, safety, or the integrity of the service.
5. Where data is stored
Data is stored on cloud infrastructure located in the United States. Mail is physically received and scanned at our partner facility in Florida.
6. How long we keep it
We keep account and business information for the life of your account and for a reasonable period afterward to meet legal, tax, and audit needs. You can request deletion of your documents and mail scans subject to those obligations.
7. Your choices
- Update your profile information any time from your dashboard.
- Download documents from your vault.
- Email privacy@businessbasehq.com to request access, correction, or deletion of your data.
8. Security
We use encryption in transit, role-based access controls, and standard operational safeguards. No system is perfectly secure — please use a strong password and notify us immediately if you suspect unauthorized access.
9. Children
BusinessBaseHQ is not directed to anyone under 18 and we don't knowingly collect their data.
10. Changes
If we make material changes to this policy, we'll update the date above and let you know by email or in-app.
